How do you switch from Calendly without disrupting your clients?

Set up Airtym first, then move each client at their next booking instead of all at once. Airtym has no import from Calendly, so export your meetings and contacts before you change plans. Swap your link everywhere it appears, let booked appointments finish in Calendly, and downgrade Calendly to Free rather than deleting the account.

Why Should the Switch Run Client by Client?

Burnham, Frels and Mahajan found that all three kinds of switching cost shape whether customers intend to stay with a provider, and explain more of that intention than satisfaction does (Burnham, Frels and Mahajan, 2003). The procedural cost is the setup, plus the exports, the link audit and the messages to clients. What you lose financially depends on when you stop, because a downgrade takes effect at the end of your billing period (Calendly), and this plan keeps you on Calendly for part of it.

The relational cost in that framework is the bond with the provider you are leaving, which for a solo practice is usually the smallest of the three. Your clients are a separate question. What changes for them is the link, and where they pay and join the call, so tell them before their next booking.

History is the part that cannot move into Airtym. Economists Joseph Farrell and Paul Klemperer describe how switching costs and network effects lock customers into early choices when products are incompatible (Farrell and Klemperer, 2006). Here the incompatibility sits on the import side: your meetings leave Calendly as a CSV (Calendly), and Airtym has no import to receive it.

The same limit runs the other way, and it belongs in this decision. Airtym has no export yet, so a record built there cannot be lifted out the way your Calendly file can. Weigh that before you start, and keep your Calendly exports as a standing archive rather than a one-off chore.

History matters most for the clients who come back. Consulting-firm adviser David A. Fields recommends that 40 to 80 percent of a firm's revenue come from repeat clients (David A. Fields Consulting Group, 2018).

So change each client over when they next book. Nothing existing is moved or cancelled, so nobody gets a cancellation email (Calendly). Your Calendly export covers every call before that booking (Calendly). Every booked Airtym call then adds a summary and a transcript to that client's record (Airtym), so their next booking becomes a clean boundary: the Calendly file holds everything up to it, and the Airtym record builds from it forward.

How Do You Switch, Step by Step?

  1. Export first. Export your meetings as a CSV from the Calendar page (still called the Meetings page on some accounts); Calendly documents this for paid plans (Calendly, Calendly). The file includes a Meeting Notes column (Calendly). Then export your contacts, which works on every plan (Calendly).
  2. Set up Airtym. Set your availability and prices up again by hand, set up payments through Stripe (Airtym), and connect your calendar. Calendar sync comes with every plan (Airtym), and it works with Google Calendar. Before you send the link to anyone, book a slot yourself and check that the booking, the payment and the calendar entry all land.
  3. Swap your link everywhere on day one. Airtym cannot redirect a booking link from another tool (Airtym), so replace it on your website, in your email signature, on your social profiles, and on any QR codes or printed materials.
  4. Leave Calendly open on different hours, and set a date to close it. Clients who saved your old link can still book, so nobody lands on a dead page. An open link also keeps adding appointments, and there is no last one to wait for until you stop it, so pick a cutoff date and tell your clients. Calendly skips times that are busy on your connected calendar, and in Google Calendar only events marked Busy count (Calendly), so until the cutoff never offer the same hours in both tools.
  5. Move existing clients at their next booking. When a client is due to book again, send your Airtym link. They do not need an account: they book, pay and join in the browser (Airtym).
  6. Turn off your event types at the cutoff, then let booked appointments finish in Calendly. Turning them off stops new bookings through the old link (Calendly), which is what gives you a last appointment to wait for. Calendly says deleting an event type leaves scheduled meetings alone. Its page does not say the same for turning one off, so check your Calendar page afterwards for a booked appointment. Do not delete those meetings from Google Calendar to tidy up: with calendar sync on, that cancels the meeting and emails your client (Calendly). If you do move one to Airtym, tell the client first.
  7. Export again after your last Calendly appointment, then downgrade to Free. Export your meetings while the paid plan still has the export, then request the downgrade and check its date, since it takes effect at the end of your billing period (Calendly). If you might come back, Calendly suggests downgrading rather than deleting the account (Calendly).

Example

A consultant has 18 active clients on monthly calls, and 11 appointments booked in Calendly over the next three weeks (an illustrative scenario; the numbers are arbitrary). They set up Airtym, swap their link everywhere on day one, and give each existing client the Airtym link when their next call is due. They also set a cutoff four weeks out and turn their Calendly event types off on that date. Any client who books through the old link before then simply lands on the list of calls still to finish there.

Result

Within two months, every active client has booked through Airtym once, each with a record that starts at that call. Calendly drops to Free, with a final meetings export and the contacts file kept as the archive.

When Should You Stay With Calendly?

Outlook and Apple Calendar are a reason to stay. Airtym's calendar sync works with Google Calendar.

Team booking is the other one. Round-robin and lead routing are on Calendly's Teams plan and above (Calendly), and Airtym is built for one person selling their own time (Airtym).

One exception to moving clients at their next booking: if you are partway through a client's programme and its notes live in Calendly, finish that programme there. Splitting one engagement across two tools leaves its notes in two places.
